As a component of the Microsoft suite, MSP integrates seamlessly with Excel, Power BI, SharePoint, and Teams, enabling planners and managers to connect data, track progress, and communicate effectively.

Controlled cost
Compared to enterprise solutions such as Primavera P6 or Safran, MSP is more economical and requires less IT infrastructure or specialised training.

Microsoft Project: Limitations and Friction Points

Lack of robust logic and validation controls
MSP does not impose strict scheduling integrity rules. Circular dependencies, unlinked tasks, or incomplete logic can go unnoticed. For schedules compliant with DCMA or RS5, this is a major limitation compared to Primavera P6.

Limited management of baselines and changes
Although MSP allows for the creation of baselines, managing multiple references or complex histories remains cumbersome. For projects with contractual rebaselining or monthly updates, this becomes risky.

Limited multi-user collaboration
MSP is not natively designed for simultaneous work by multiple planners. The file format (.mpp) often leads to versioning issues when multiple stakeholders modify the schedule.

Large-scale integration of resources/costs is limited
The resource levelling, cost loading, and Earned Value Management (EVM) functionalities remain basic. MSP lacks advanced analytics and comprehensive data management compared to enterprise solutions.

Scalability issues
Beyond 5,000 to 10,000 activities with complex logic, MSP becomes slow, loses responsiveness, or may even crash.

Risk analysis and limited simulation
MSP does not offer native probabilistic analysis (like Monte Carlo) or advanced “what-if” simulations. These analyses require third-party tools or migration to Primavera Risk Analysis, Safran Risk, or Deltek Acumen.

 

Best practices for using Microsoft Project effectively

Even with these limitations, a structured approach allows MSP to be transformed into a real steering tool.

Define a WBS and a clear structure from the outset
Use standardised WBS codes, naming conventions and a colour code. This will improve readability and facilitate a future migration to P6 or Power BI dashboards.

Using custom fields for governance
Create fields for the manager, status date, margin, interfaces, and progress comments. The schedule then becomes a structured and auditable database.

To limit manual constraints
Avoid “Must Start/Finish” constraints. Prefer logical relationships to maintain flexibility and ensure a reliable critical path.

Maintain a single source of truth
Store the master plan in a controlled environment (SharePoint, Box or Teams) with version management. Define clear governance: who modifies, who reviews, who approves.

Regular integrity checks
Implement filters or macros to detect anomalies: missing predecessors, negative or excessive floats. This allows for the replication of DCMA-type checks.

Power BI Integration for Dashboards
Export data to Excel or Power BI to visualise KPIs (progress, variances, float trends, milestones). This addresses the lack of dynamic reporting.

Hybrid approach with Primavera or Safran
For complex or consortium projects, MSP can serve as a Level 2 schedule, while detailed Level 3/4s are managed under Primavera P6 or Safran.

 

Microsoft Project vs Primavera P6: complementary, not opposing

Rather than opposing the tools, they should be positioned within a coherent ecosystem:

  • MSP is suitable for upstream phases, medium-sized projects or internal reporting.
  • Primavera P6 (or Safran) is indispensable for contractual planning, interface management, and multi-stakeholder projects.

 

The challenge is to align the level of control with the project's maturity and its governance requirements.
